Calendar sync (Outlook and Google)

Connect your Outlook or Google calendar so your lessons appear there automatically, and so your own events stop students booking times you're busy.

Connect Outlook

  1. In your dashboard, open Settings → Calendar sync and press + Connect Outlook.
  2. Choose the Microsoft account to connect and sign in. Microsoft asks you to let YourADI read and update your calendars.
  3. You come back to Calendar sync with your calendars listed. Your upcoming lessons are added to Outlook over the next few minutes.

Connect Google Calendar

  1. In your dashboard, open Settings → Calendar sync and press + Connect Google.
  2. Choose the Google account to connect. Google asks you to let YourADI see your calendars and view and edit their events. Leave both boxes ticked: YourADI needs both to sync.
  3. You come back to Calendar sync with your calendars listed. Your upcoming lessons are added to Google Calendar over the next few minutes.

You can connect one Outlook account and one Google account at the same time.

What syncs

From YourADI to your calendar. Every lesson you teach goes onto the calendar marked Receives new lessons: provisional lessons as tentative, confirmed lessons as busy. When a lesson moves or is cancelled, your calendar follows. A cancelled lesson is removed, unless you turn on Keep cancelled lessons visible on your external calendar.

From your calendar to YourADI. Events on calendars set to Show on calendar appear on your YourADI calendar. Events on calendars set to Block bookings stop students booking those times. All-day events only block bookings when you turn that on for the calendar.

When you connect, your own calendars block bookings. Calendars shared with you, and ones you subscribe to, such as holidays or birthdays, don't until you turn Block bookings on.

Changes usually arrive within a few minutes. If something looks out of date, press Refresh: it also picks up calendars you've added or removed in Outlook or Google Calendar.

If it says "Needs reconnecting"

Microsoft or Google sometimes stops accepting YourADI's sign-in, for example after you change your password, or when your organisation asks you to sign in again. Calendar sync then shows Needs reconnecting, and a banner appears above your calendar. Until you reconnect, new lessons aren't added to that calendar, and changes made there don't reach YourADI.

Press Reconnect Outlook or Reconnect Google and sign in with the same account. Your calendars and settings stay as they were, and lessons booked or changed in the meantime are brought up to date.

Disconnect

Press Disconnect, then press it again to confirm. YourADI stops syncing and forgets that calendar's events. Lessons already in your calendar stay there: delete them there if you don't want them.

Disconnecting Google also removes YourADI's access to your Google account. Microsoft keeps the permission you gave YourADI until you remove it in your Microsoft account's settings, in the list of apps that can access your account.

Schools

Each instructor connects their own calendar and gets their own lessons. Owners and managers can see on the Staff page whose calendar is connected and whose needs reconnecting.
